How do I create an email property in Notion?

Creating an email property in Notion takes just a few clicks and transforms how you organize contact information within your workspace. Whether you're building a customer database or managing team contacts, this property type validates email formats automatically and enables direct communication through mailto links. The process differs slightly between standard Notion databases and Notion Mail, but both approaches give you powerful ways to structure and interact with email data. Understanding these steps will help you build more effective contact management systems.

For standard Notion databases, start by opening your existing database or creating a new one. Click the "+" button to the right of your last property column, then select "Email" from the property type menu that appears. Give your property a descriptive name like "Contact Email" or "Primary Address," and you're ready to start entering email addresses. The email property automatically validates that entries follow proper email formatting, which helps maintain data quality across your database.

If you're working within Notion Mail, the process involves a slightly different approach. Click the gear icon labeled "Edit view" in the top-right corner of your inbox, then select "Properties" from the menu. Choose "Add property" at the bottom of the options, select "Email" as your property type, and assign it a name. This creates a custom email field that appears for each message in your selected view, though you'll need to add the property separately to other mail views where you want it visible.

The email property offers several advantages over using simple text fields for contact information. It provides built-in validation to catch formatting errors, supports clickable mailto links for quick communication, and enables sophisticated filtering and sorting options. You can easily hide or show email properties using the eye icon, reorder them by dragging column headers, and use them as the foundation for customer relationship management systems within Notion.

Keep in mind that email properties have some limitations worth considering. While they validate basic email formatting, they don't verify whether addresses are actually active or deliverable. In Notion Mail, custom properties are view-specific rather than universal, meaning you'll need to configure them separately for each view where you want them visible. Additionally, email properties remain static fields that don't automatically update based on incoming or outgoing correspondence without additional integrations. Despite these considerations, email properties remain one of the most practical tools for organizing contact information and building comprehensive databases within your Notion workspace.
