Sharing Notion pages with people outside your workspace is straightforward, with Notion offering two primary methods that serve different collaboration needs. You can invite specific individuals as guests using their email addresses, or create public links that anyone can access. Each approach comes with distinct advantages and security considerations that you'll want to understand before sharing your content.

The most controlled method involves adding guests directly through email invitations. Simply click the "Share" button in the top-right corner of your page, enter the person's email address in the "Add people" box, and select their permission level. You can choose from four access levels: "Full access" allows editing and resharing, "Can edit" permits content changes only, "Can comment" enables feedback without editing, and "Can view" provides read-only access. The invited person receives an email link and will need to create a Notion account if they don't already have one. This method offers excellent security since access is tied to specific email addresses, making it ideal for client collaboration or sensitive document reviews.

Alternatively, you can create public links by toggling "Share to web" in the sharing menu. You can enhance discoverability by enabling search engine indexing or keep content more private by leaving this option disabled. Some plans also allow you to set expiry dates for these links, adding an extra layer of control over long-term access.

However, both methods come with important limitations to consider. Guest invitations are restricted by your plan type—free accounts typically allow around 10 guests—and all subpages within a shared page are automatically accessible unless you customize individual permissions. Public links carry inherent security risks since anyone who obtains the URL can view your content, making them unsuitable for confidential information. Additionally, Enterprise administrators can restrict or disable external sharing entirely, so check your workspace's security settings if sharing options appear limited.

The key to successful external sharing lies in matching your method to your specific needs. Use guest invitations when you need controlled collaboration with specific individuals and want detailed access management. Choose public links when you're comfortable with broader access and want to eliminate account creation barriers for viewers. Remember to regularly audit your shared pages and revoke access when collaboration ends to maintain optimal security.
